WorkPro
Guide

Your first day on WorkPro.

Five minutes, start to finish. WorkPro clocks your crew in and works out which job the time belongs to from where they actually were — so most of this is about the two minutes at the start and the two at the end.

  1. 1

    Get in

Install from the TestFlight link you were sent, then sign in.

Starting your own company? You will have been given an owner code. It goes under Running your own, and then you fill in the business details — the licence number is the one customers ask for before they sign, so it is worth doing now rather than hunting for it later.

Joining an employer? They give you a six-character join code, which goes under Joining a crew. The two codes are not interchangeable: if the app refuses one, you probably have the other.

  2. 2

    Clock in

One button on the home screen. Pick the job if you know it — if you do not, clock in anyway and sort it out afterwards. The hours are the part that matters.

The first time, the phone asks about location. Allow it if you can. Tracking runs only while somebody is on the clock, never between shifts, and it is what lets the app work out where the hours went. Declining costs nothing: the time still counts, you just place it by hand.

  3. 3

    Work

Nothing to do. Pocket the phone. The app records where you stop and for how long, and matches those stops against your job sites.

Add a note any time from the home screen — waiting on materials, client changed the layout. It is stamped with the time and shows up on the timesheet, which is a better record than remembering on Friday.

  4. 4

    Check the day

Open a shift to see the route and every stop on it. Tap a stop to see where it was on a map and say what it was: a job nearby, a break, a site nobody has set up yet, or somewhere you simply had to be.

Missed a stop? Use Add a stop the app missed. Location fails sometimes — a dead phone, a canyon, tracking switched off — and your word about where you were is worth having. It is marked as entered by hand wherever it appears, because typed time and measured time are not the same claim.

  5. 5

    Sign off the week

Owners review on the Timesheet, or approve everything a payroll run is holding back in one go from Payroll.

Set your pay week first, under Pay rules. If your week runs Thursday to Wednesday, say so: overtime is counted over that week, and the wrong boundary quietly splits it in two.

Reading the app

What the colours mean.

The same four everywhere. Nothing in WorkPro is coloured for decoration.

  • Green — on site At a job, or a business location you have named. Nothing to do.
  • Amber — needs a decision Moving, or stopped somewhere the app does not recognise yet. Somebody should say what it was.
  • Red — off site Time no job accounts for. The one that costs money if nobody looks at it.
  • Grey — not known Tracking off, or no position yet. The app says so rather than showing a confident guess.
While it is in beta

Tell us what looks wrong.

Information can be lost or inaccurate while WorkPro is in beta, so keep whatever you used before until this has earned your trust. If a stop looks wrong or an hour is missing, say so — nearly every fix so far came from somebody describing what they saw on a real shift.
